Security starts at the site visit. Our crew follows your site rules, sign-in procedures, escort requirements, and restricted-area instructions.

• We capture only the areas included in your project scope.
• Tell us in advance about rooms, people, documents, or equipment that should not be captured, and we will plan the scan around them where we can.
• Access codes, keys, and site instructions you share are used only for your project.

02How We Store Your Data

Scan data, project files, and documents you share with us are stored using encrypted cloud services rather than on loose drives or personal accounts. Field equipment and the data on it are handled as confidential project material.

03Transfer & Delivery

Point clouds and models are large, so we deliver them through secure cloud file delivery and virtual site access platforms rather than email attachments.

• Our website, quote forms, and file links use encrypted HTTPS connections.
• Download links and virtual site access are shared only with the project contacts you designate.
• If you need deliverables sent to someone else, such as your architect or contractor, just tell us who.

04Who Can Access Your Data

Access to your project files is limited to authorized Hos-Scans personnel and contractors who need it to complete your work. We do not share your building data with third parties except service providers who help us deliver your project, people you designate, or as required by law.

For projects that need extra protection, such as healthcare facilities, secure areas, or confidential developments, we are glad to sign a non-disclosure agreement and follow your organization's data-handling requirements where agreed in writing.

05Website Security

hos-scans.com is served over HTTPS by a professional hosting provider. Quote and contact form submissions travel encrypted to Hos-Scans' own systems, which validate input and filter spam and abusive traffic. The site runs no advertising scripts; its analytics (PostHog) is loaded through our own domain and only after a visitor accepts cookies.

06Retention & Deletion

We keep project data so we can support your project and handle follow-up requests such as re-exports or additional deliverables. You can ask us to delete your project data from our systems at any time, subject to records we are legally required to keep. We recommend keeping your own copy of all deliverables.

07If Something Goes Wrong

No organization can promise perfect security, and we won't pretend to. What we can promise is how we respond: if we learn of a security incident affecting your information, we will act promptly to contain it and notify you as required by law, in plain language.

08Reporting a Vulnerability

If you believe you have found a security vulnerability in our website or systems, please email info@hos-scans.com with the subject line "Security" and include a description of the issue and steps to reproduce it. We will acknowledge your report and keep you updated as we investigate.

Please give us reasonable time to fix the issue before disclosing it publicly, and do not access, modify, or delete data that isn't yours, disrupt our services, or test against our clients' properties or files.
